Marking Sales as Dispatched & Completed

Understand how order statuses update and how to complete sales

When you make a sale on Depop, eBay, or Vinted, the order goes through a clear lifecycle: sold, dispatched, and completed. Evriwhere tracks this lifecycle by syncing status updates from each platform automatically. This guide covers how dispatch status works, how to mark orders as completed, and how to remove sales when needed.

Understanding the Order Lifecycle

Every sale in Evriwhere follows a three-stage lifecycle:

  1. To Ship — The item has been sold and paid for, but hasn't been shipped yet. This is where every new sale starts.
  2. Dispatched — The item has been shipped and is on its way to the buyer.
  3. Completed — The item has been delivered, the buyer is satisfied, and the transaction is fully finished.

Each stage is represented by a section in the Sales tab with its own coloured badge:

There's also an Other section (orange badge) that captures sales with unusual statuses that don't fit neatly into the three main stages.

Sales from all platforms

This workflow applies to sales from Depop, eBay, and Vinted equally. Regardless of which platform the buyer purchased on, you can track the order status through Evriwhere's unified Sales tab.

How Dispatch Status Works

Dispatch is synced from the platform

Evriwhere does not have a "Mark as Dispatched" button. Dispatch status is automatically synced from the selling platform. When you mark an order as shipped on Depop, eBay, or Vinted directly, Evriwhere picks up the status change and moves the sale from To Ship to Dispatched automatically.

To update a sale's dispatch status:

  1. Open the selling platform's app — Go to Depop, eBay, or Vinted where the order was placed
  2. Mark the order as shipped — Follow that platform's process for confirming dispatch (e.g. adding tracking details, confirming shipment)
  3. Wait for Evriwhere to sync — Evriwhere periodically checks for status changes. Within a short time, the sale will move from the To Ship section to the Dispatched section in your Sales tab

You can pull down on the Sales tab to trigger a manual refresh if you want to speed up the sync.

Platform-specific dispatch notes

Depop

  • Mark the order as shipped in the Depop app by confirming dispatch and optionally adding tracking information
  • Depop buyers expect items to be shipped promptly — aim for within 2-3 days

eBay

  • eBay has a configurable dispatch time that you set in your eBay settings within Evriwhere (see eBay Account Settings)
  • Mark the order as shipped in eBay's app or website, adding tracking details where available
  • Late dispatch can negatively affect your eBay seller metrics — always ship within your stated dispatch time

Vinted

  • Vinted has its own shipping system, often with prepaid labels
  • Mark the order as dispatched in the Vinted app
  • Vinted has a built-in delivery confirmation system — the buyer confirms receipt in the Vinted app

Marking a Sale as Completed

Once an order has been delivered and the transaction is fully finished, you can mark it as completed in Evriwhere. This is the final step in the order lifecycle and moves the sale to your completed sales history.

Open the Sales tab

Navigate to the Sales tab and find the sale you want to complete. It will typically be in the Dispatched section (blue badge), but you can mark sales as completed from any section.

Tap the sale

Tap the sale to open the item's detail view (ItemView). This shows the full item information along with a Sale Details Card displaying:

  • Platform — Which platform the sale was made on
  • Payout Amount — The amount you'll receive
  • Sold At — When the sale was made
  • Status — The current order status

Open the ellipsis menu

In the top-right corner of the item detail view, tap the ellipsis menu (⋯).

Tap 'Mark as Completed'

From the menu, tap Mark as Completed. This sends a request to finalise the order in Evriwhere.

Sale moves to Completed Sales

Once marked as completed, the sale:

  • Disappears from the current section on the main Sales tab
  • Moves to the Completed Sales screen — Accessible from the Sales tab via the green Completed section
  • Updates badge counts — The section count decreases

Don't mark as completed prematurely

Only mark a sale as completed when you're confident the order is fully resolved. If the buyer hasn't received the item or there's an open issue, keep the sale in its current section until it's sorted out.

Removing a Sale

If you need to remove a sale from your sales feed entirely — for example, if an order was cancelled or placed in error — you can do so from the item detail view.

Tap the sale

Find the sale in the Sales tab and tap it to open the item detail view.

Open the ellipsis menu

Tap the ellipsis menu (⋯) in the top-right corner.

Tap 'Remove Sale'

From the menu, tap Remove Sale. This removes the sale from your sales feed and moves the item back into your regular inventory.

Item returns to inventory

When you remove a sale, the item is moved back to your inventory as an active item. It won't be deleted — it simply returns to the Items tab as if it hadn't been sold.

What Happens to Inventory When a Sale Completes

When you mark a sale as completed, Evriwhere handles your cross-platform inventory:

  • The sold item is removed from active inventory — If the item was crosslisted on other platforms, it's flagged as sold
  • No duplicate sales — This prevents a situation where an item that's already been sold on one platform gets purchased by someone on another platform
  • Listing cleanup — The item's listings on other platforms are taken down or marked as sold, depending on the platform

Automatic inventory management

This cross-platform inventory management is one of the core benefits of using Evriwhere for crosslisting. When you mark a sale as completed, you don't need to manually go to each platform and remove the listing — Evriwhere handles it for you.

Viewing Your Completed Sales

All completed sales are stored in the dedicated Completed Sales screen, keeping your main Sales tab clean and focused on orders that need attention.

Accessing Completed Sales

  1. Open the Sales tab
  2. Tap the green Completed section
  3. The Completed Sales screen opens with your full history

Completed Sales screen features

  • Search bar — Search your completed sales with the "Search completed sales" prompt. Type to filter results by item title
  • Sort options — Tap the sort control to reorder your completed sales:
    • Date Sold — Most recent or oldest first (default: most recent, descending)
    • Profit — Highest or lowest profit per sale
    • Title — Alphabetical order by item title
  • Loading state — 5 skeleton rows while data is being fetched
  • Empty state — "No Completed Sales" / "Completed sales will appear here once orders are delivered."
  • Error state — Warning icon with "Connection Error" and a retry button

Profit tracking on completed sales

Each completed sale shows your profit via a coloured capsule badge (green for positive, red for negative) if you've set a purchase price on the item.

Retroactive purchase prices

If you forgot to set a purchase price before an item sold, you can still edit the item to add the purchase price. The profit calculation will update accordingly.

Managing Sales in the "Other" Section

Not every sale follows a clean path from To Ship to Dispatched to Completed. Some orders end up in the Other section (orange badge), which captures sales with statuses that don't map neatly into the standard lifecycle.

For orders in the Other section, tap the sale to open the item detail view and review the sale details card to understand the situation. Some of these orders may resolve themselves, while others may need your attention on the platform directly.

Troubleshooting

Sale is stuck in To Ship

If a sale remains in To Ship after you've shipped the item:

  1. Check the platform — Make sure you've marked the order as shipped on Depop, eBay, or Vinted directly
  2. Pull to refresh — Swipe down on the Sales tab to trigger a manual sync
  3. Wait for sync — It may take a few moments for the platform's status update to reach Evriwhere
  4. Restart the app — Force-close and reopen Evriwhere if the status still hasn't updated

Sale is stuck in Dispatched

If a sale remains in Dispatched and you want to complete it:

  1. Check the platform — Some platforms have their own completion requirements (e.g. buyer confirmation on Vinted)
  2. Use Mark as Completed — If the order is genuinely finished, use the ellipsis menu (⋯) to mark it as completed manually
  3. Wait for auto-completion — Some platforms automatically complete sales after a set period

Best Practices

Efficient order management

Follow these tips to keep your order workflow running smoothly:

  • Ship and mark as dispatched on the platform promptly — Don't wait. Update the dispatch status on the selling platform as soon as you've posted the order
  • Mark as completed only when truly done — Wait until the item is delivered and there are no outstanding issues
  • Use pick lists for bulk Vinted shipping — If you have multiple Vinted orders, generate a pick list to streamline your packing
  • Keep an eye on the Other section — Don't ignore orange-badged orders. They often need your attention
  • Set purchase prices before items sell — This ensures profit data is available from the moment a sale completes
